How and why we use personal data

AI-assisted resources and pilot workflows
Where Crop Urbanis discusses or provides AI-assisted resources, prototype tools or digital decision-support workflows, personal data and project data are processed only for the agreed purpose, such as scoping, research, pilot validation, training, dashboard preparation or delivery of an engagement. Sensitive project, supplier, farm, financial or operational information should be shared only where necessary and may be subject to separate contractual or confidentiality terms.Legal bases

(record keeping, taxation).
Sharing and transfers
Personal data is shared only with trusted processors whosupport our operations: hosting and CMS providers, Netlify forms, analytics services (Plausible, Google Analytics 4),
CRM/email tools, video hosting (YouTube), secure cloud, productivity or AI infrastructure providers where needed for agreed resources or pilot workflows, and professional advisers. These partners process data under contractual
instructions and appropriate safeguards. Some providers operate outside the EEA; we rely on Standard Contractual Clauses
or equivalent protections where required. Where third-party providers are used for client or pilot data, the applicable scope, access conditions, data retention and security measures should be defined before deployment.
Retention
• Enquiry records: up to 24 months after our lastinteraction unless you become a client (then retained per contractual obligations).
• Client project files: for the
duration of the engagement plus 6 years to meet legal and accounting requirements.
• Analytics data: aggregated and
anonymised within 14 months.
• Newsletter or marketing consent records: until you unsubscribe or ask us to delete
them.
Your rights
