This policy explains how we handle personal data collected through cropurbanis.com, enquiry forms, digital resources, pilot discussions and associated communication channels.

Personal data we collect

email (name, email, phone, company, role, service interest, message).
• Project information and attachments you
choose to share to help us scope engagements.
• Course enrolment data (name, email, cohort preferences, language
selections) when you request access to training programmes.
• Interaction data captured through essential and
analytics cookies (page views, CTA clicks, language preference, referring source, approximate location).
• Technical
data from your device (IP address, browser type, operating system, time zone, device identifiers).

How and why we use personal data

• Respond to enquiries, prepare proposals, and deliver consulting, training, research support or digital decision-support engagements.
• Provide requested resources (downloads, course links) and manage waitlists or cohort logistics.
• Scope AI/data pilots, prepare dashboards, structure project materials or validate prototype workflows where separately agreed.
• Operate the website, troubleshoot issues, and protect the service against fraud or abuse.
• Analyse aggregated usage
to improve navigation, copy, and course offerings.
• Comply with legal obligations, including responding to lawful
requests from regulators.

AI-assisted resources and pilot workflows

Where Crop Urbanis discusses or provides AI-assisted resources, prototype tools or digital decision-support workflows, personal data and project data are processed only for the agreed purpose, such as scoping, research, pilot validation, training, dashboard preparation or delivery of an engagement. Sensitive project, supplier, farm, financial or operational information should be shared only where necessary and may be subject to separate contractual or confidentiality terms.

Legal bases

We process data on the basis of legitimate interest (servicing
enquiries, maintaining security), consent (marketing communications, optional analytics cookies), and legal obligation
(record keeping, taxation).

Sharing and transfers

Personal data is shared only with trusted processors who
support our operations: hosting and CMS providers, Netlify forms, analytics services (Plausible, Google Analytics 4),
CRM/email tools, video hosting (YouTube), secure cloud, productivity or AI infrastructure providers where needed for agreed resources or pilot workflows, and professional advisers. These partners process data under contractual
instructions and appropriate safeguards. Some providers operate outside the EEA; we rely on Standard Contractual Clauses
or equivalent protections where required. Where third-party providers are used for client or pilot data, the applicable scope, access conditions, data retention and security measures should be defined before deployment.

Retention

• Enquiry records: up to 24 months after our last
interaction unless you become a client (then retained per contractual obligations).
• Client project files: for the
duration of the engagement plus 6 years to meet legal and accounting requirements.
• Analytics data: aggregated and
anonymised within 14 months.
• Newsletter or marketing consent records: until you unsubscribe or ask us to delete
them.

Your rights

You may request access, rectification, portability, or deletion of your personal data,
restrict or object to processing, and withdraw consent at any time. You also have the right to lodge a complaint with
the French Data Protection Authority (CNIL).
